Job Title: Executive Assistant (Customer Support Specialist) Location: Remote - LATAM (Colombia, Mexico, Panama) Schedule: CST Time Zone - full overlap required, Monday to Friday, Full-Time (Work hours may vary between 6:00 a.m. and 8:00 p.m. CST, with a 40–50 hour workweek based on business needs.) Salary: $1,600 – $2,000 USD/month (based on experience) The Executive Assistant provides high-level administrative and operational support to BGOS leadership and company ownership for their coaching practice. This role ensures seamless execution of scheduling, communications, and content coordination that enable the BGOS team to deliver exceptional training, coaching, and community experiences. The position plays a critical role in maintaining organized operations, supporting coach community engagements, and optimizing internal systems and collateral. Key Responsibilities The essential functions include, but are not limited to the following: Manage and coordinate complex calendars Provide direct executive assistant support to ownership, including ownership coaching practice coordination and administrative needs Deliver real-time operational support during Coach Community Gatherings, including uploading materials, managing communications, and coordinating digital platforms (e.g., Mighty Networks, WhatsApp) Maintain and update BGOS collateral and training materials with a high level of accuracy and organization Ensure all meeting materials, agendas, and resources are prepared and accessible in advance of BGOS sessions and Coach Community gatherings Support internal communication flow across BGOS team members to ensure alignment and execution Assist in organizing and maintaining BGOS systems, documentation, and digital assets Identify opportunities to improve efficiency in administrative workflows and implement solutions Utilize artificial intelligence (AI) tools to enhance, optimize, and streamline collateral and administrative processes where applicable Minimum 3+ years of relevant experience in an Executive Assistant or Administrative role Experience supporting executives or leadership teams in a fast-paced environment Demonstrated proficiency in calendar management, digital collaboration tools, and administrative systems Strong written and verbal communication skills in English Ability to effectively operate and collaborate in a remote work environment Basic mathematical and reasoning abilities High level of discretion, professionalism, and organizational skills Preferred Qualifications Experience working within a business operating system (e.g., EOS – Entrepreneurial Operating System or similar) Familiarity with community platforms such as Mighty Networks or similar tools AI proficiency with tools used for content creation, editing, or workflow automation Bilingual ability (English/Spanish) Experience in SaaS or coaching/training organizations Knowledge, Skills and Abilities (KSAs) Exceptional organizational and time management skills with strong attention to detail Ability to prioritize tasks and manage multiple responsibilities simultaneously Strong problem-solving and critical thinking skills High level of accountability and follow-through Proficiency in digital tools and ability to quickly learn new systems Strong interpersonal skills and ability to communicate effectively across teams Ability to work independently while maintaining alignment with leadership priorities Core Values Our partners' culture is founded on values that shape how we collaborate, lead, and develop collectively. Work hours may vary by week between 6:00 a.m. and 8:00 p.m. CST. Work is expected to be performed in 40-50 hour work weeks to meet customer or business needs. The role requires consistent use of digital collaboration tools and a reliable internet connection. Travel Requirements Travel will not be required for this position. However, there may be opportunities for travel up to 15% may be requested, likely internationally, depending on business needs.
