This role helps coordinate day-to-day activities, manages communications, maintains accurate records, and supports clinic onboarding and ongoing partnership initiatives. The Administrative Assistant acts as a reliable point of contact, ensuring seamless collaboration, timely follow-up, and an exceptional experience for both internal teams and clinic partners.</p> <p> <strong>A Day in the Life (What you will do here):</strong></p> <ul> <li>Order entry, data entry while working with email, fax and phone calls</li> <li>Handling email, phone, and fax correspondence with short turnaround times </li> <li>Processing and forwarding incoming and outgoing email, fax and phone</li> <li>Prepare and send out program letters and materials, work with the team on administrative duties</li> <li>Report any Adverse Events / Severe Adverse Events (AE / SAEs) following approved SOPs. </li> <li>Complete all relevant reports (timesheets, expenses, mileage, validate CRM reports, etc.) as per specified timelines and required standards. </li> <li>Maintain electronic and paper filing systems in accordance with company policies.</li> <li>Monitor shared inboxes and respond to or route inquiries appropriately.</li> <li>Assist with processing and tracking PSP enrollment forms and supporting documentation.</li> <li>Collaborate with cross-functional team to ensure timely patient access to therapy.</li> <li>Maintain program databases/ EMRs</li> <li>Track documentation related to biologic product access, approvals, and renewals.</li> <li>Assist with therapy coordination with pharmacy</li> <li>Assist in coordinating biologic therapy-related administrative activities</li> <li>Monitor patient case status and escalate outstanding items to the appropriate team members.</li> <li>Coordinate communication with healthcare providers, specialty pharmacies, infusion clinics, and PSP vendors.</li> <li>Additional duties as assigned by the manager. </li> </ul> <p> <strong>What you need to ensure you are set up for success:</strong></p> <ul> <li>Grade 12 education combined with two years of community college secretarial and/or equivalent work-related experience providing office administration services. </li> <li>Excellent verbal and written communication, listening, and customer service skills. </li> <li>Proactive and dynamic with the ability to integrate into a team environment and collaborate with others. </li> <li>Able to accurately input information into various paper and electronic forms, with attention to detail and accuracy being essential. </li> <li>Ability to learn quickly and adapt in multitasking, fast-paced, and changing environment. </li> <li>Strong organizational skills with the ability to handle changing priorities effortlessly. </li> <li>Proficiency in Microsoft Office suite, phone systems, and experience working with databases (i.e., ERP/CRM).
