About the role

We are looking for a warm, empathetic, confident, and highly organized Client Success Coordinator, internally known as an Accountability Coach.

The Accountability Coach is the dedicated relationship owner for students and families throughout their egelloC program. You will serve as the consistent point of contact for matters outside college admissions coaching, including onboarding, student accountability, parent communication, scheduling, engagement tracking, and operational support.

You will work closely with Student Success Coaches, Admissions Essay Strategists, onboarding, client support, and operations to ensure that every family feels informed, supported, and confident throughout their journey.

Although this role includes the word “Coach,” this is not a college admissions coaching position. Your responsibility is to keep students engaged, parents informed, and internal teams aligned.

You are the operational glue that makes sure nothing falls through the cracks.

College admissions can be stressful for students and parents. As one of their primary contacts, your communication style matters just as much as your organizational skills.

You must bring:

You have a naturally warm and inviting communication style that helps anxious students and parents feel heard and supported.

Excellent Communication

You can communicate professionally and empathetically through Zoom, phone, text, and email. Your spoken and written English should be at a C2 level or equivalent.

Emotional Awareness

You understand how to communicate firm deadlines, scheduling changes, and operational updates with a calm and supportive tone.

Proactive Ownership

You do not wait for problems to escalate. You notice disengagement, missed milestones, and communication gaps, then take action before the family needs to ask.

What You Will Own

Family Relationship Management

Serve as the consistent point of contact for students and parents throughout their program.

Introduce yourself to every newly assigned family and establish clear expectations for how you will support them.

Build genuine relationships by understanding each student’s goals, motivation, concerns, and challenges.

Ensure families always know who to contact and what will happen next.

Onboarding and the First 30 Days

Help new families complete onboarding and gain access to all required systems and resources.

Confirm that students can access Nest and schedule their first coaching session.

Conduct an initial conversation to understand each student’s goals, challenges, and motivation.

Complete weekly check-ins with new families during their first 30 days.

Identify students who are falling behind and escalate concerns quickly.

Student Accountability

Track commitments and action items assigned by Student Success Coaches.

Follow up with students between coaching sessions.

Monitor milestone completion, engagement, and adherence to timelines.

Identify tasks or commitments that may otherwise fall through the cracks.

Help students maintain momentum without taking over the responsibilities of their Student Success Coach.

Parent Communication

Send short summaries after coaching sessions, explaining what was discussed, what the student committed to, and how the parent can support their progress.

Review and personalize monthly parent progress reports before they are sent.

Contact parents proactively when a student becomes unresponsive or begins missing important milestones.

Communicate concerns as supportive check-ins rather than warnings.

At-Risk Student Support and Retention

Respond quickly when students miss sessions, stop using Nest, or disengage from the program.

Contact the family, understand the underlying issue, and coordinate an appropriate solution.

Document all actions and outcomes accurately.

Escalate refund risks, sensitive family situations, and unresolved concerns to the Accountability Coach Team Lead.

Scheduling and Team Coordination

Help manage student and coach schedules.

Handle rescheduling requests with speed, accuracy, and professionalism.

Coordinate coach changes and ensure families are informed before changes occur.

Provide incoming coaches with the context needed to support the student effectively.

Reporting and Product Knowledge

Track student engagement, milestones, satisfaction, and retention indicators.

Prepare weekly and monthly reports for the Client Success team.

Become an expert on egelloC programs, systems, and resources.

Confidently answer family questions and direct them to the appropriate person or resource.

What Success Looks Like

New families complete onboarding within the required timeline.
Students achieve their first measurable program win within 21 days.
Weekly check-ins are completed for every new family during the first 30 days.
Parent progress reports are reviewed and delivered on time.
At-risk students receive follow-up within 24 hours.
Urgent requests receive a same-day response.
Standard communication receives a response within one business day.
Student and parent satisfaction remains strong.
Refund risks and disengagement decrease over time.

What This Role Does Not Own

The Accountability Coach does not provide college admissions strategy, academic coaching, essay feedback, or financial aid advice.

These responsibilities belong to Student Success Coaches, Admissions Essay Strategists, and other specialists.

The Accountability Coach also does not act as a gatekeeper between families and their assigned coach. Families continue to have direct access to their Student Success Coach.

What We Are Looking For

At least two years of experience in client success, customer success, account management, program coordination, or another client-facing relationship role.
Experience managing a portfolio of clients, students, families, or accounts.
Excellent written and verbal English communication skills.
A naturally warm, calm, and reassuring presence.
Strong organizational and time management skills.
Ability to manage a high volume of follow-ups, deadlines, and family communication.
Sound judgment about when to resolve an issue independently and when to escalate it.
Confidence communicating with students and parents.
A solution-focused approach to operational and client experience challenges.
Ability to learn new systems and processes quickly.
Experience working in a fast-growing remote environment.
A reliable personal computer, quality microphone, stable internet connection, and professional video meeting setup.
A bachelor’s degree is preferred, but an equivalent combination of education and relevant experience will be considered.

Preferred Experience

Experience in education, coaching, admissions, EdTech, or student services.

Knowledge of the United States education or college admissions system.

Experience with ClickUp, Freshdesk, CRMs, Slack, Google Workspace, Calendly, Zoom, or similar tools.

Experience monitoring client engagement, retention, satisfaction, or risk indicators.

Experience coordinating onboarding, scheduling, and progress reporting.

Compensation and Contractor Benefits

The compensation range for this role is $24,000 to $36,000 USD per year, depending on experience and location.

This is a full-time remote B2B contractor position, paid on a bi-weekly schedule.
