This position partners with insurance producers, General Agent (GA) partners, and carrier representatives to deliver accurate quotes, maintain compliance with licensing requirements, and ensure seamless carrier appointment, access, and commission processes.</p><p>Operating in a hypergrowth environment, this role plays a critical part in executing day-to-day operations while building the processes and standards needed to support rapid and sustainable scale. The ideal candidate is highly organized, proactive, and capable of operating independently to drive outcomes in a fast-paced, evolving environment.</p><p><em>Why This Role Matters</em></p><p>This role sits at the center of sales enablement and operational execution—ensuring producers have the tools, access, and infrastructure needed to succeed, while building processes that will allow the agency to scale efficiently and compliantly.</p><p><br/></p><p><strong>Job Duties</strong></p><p><br/></p><p><em>Broker & Proposal Support</em></p><ul><li>Collaborate with insurance producers and General Agent partners to generate accurate insurance quotes, plan comparisons, and client-ready proposals.</li><li>Assist in preparing and delivering proposal materials, ensuring alignment with carrier guidelines and client needs.</li><li>Support pre-sale and renewal processes by coordinating data collection and submission timelines.</li></ul><p><em>Licensing, Access & Compliance Management</em></p><ul><li>Monitor and track agency and producer licensing across multiple states.</li><li>Coordinate licensing applications, renewals, and continuing education requirements.</li><li>Support producers through licensing exam preparation and scheduling.</li><li>Ensure producers have proper system and carrier access, including onboarding to carrier portals, quoting tools, and internal systems.</li><li>Maintain accurate licensing and access records while ensuring ongoing compliance with state and carrier requirements.</li></ul><p><em>Carrier Relationship & Appointment Management</em></p><ul><li>Establish and maintain relationships with insurance carriers and partners.</li><li>Manage carrier appointment processes, including submissions, follow-ups, and approvals.</li><li>Coordinate carrier onboarding requirements, including contracting, portal access, and documentation.</li><li>Serve as a point of contact for carrier-related operational inquiries.</li></ul><p><em>Commission Management & Reporting</em></p><ul><li>Track and maintain carrier commission structures and payment schedules.</li><li>Develop and manage commission projections and reporting.</li><li>Reconcile commission payments to ensure accuracy and resolve discrepancies with carriers.</li><li>Support internal stakeholders with commission-related insights and reporting.</li></ul><p><em>Process Development & Operational Governance</em></p><ul><li>Design, document, and implement scalable workflows across licensing, quoting support, carrier management, and commissions.</li><li>Establish standard operating procedures (SOPs) and ensure adherence across the agency.</li><li>Identify gaps, inefficiencies, and risks; proactively implement solutions to improve accuracy and scalability.</li><li>Operate with a high degree of autonomy to build structure, drive accountability, and deliver consistent outcomes.</li></ul><p><strong>Required Skills</strong></p><ul><li>Proficiency in CRM systems and Excel (advanced skills preferred).</li><li>Strong ability to work independently, prioritize effectively, and deliver results with minimal oversight.</li><li>Strong understanding of insurance products, quoting processes, and carrier structures.</li><li>Demonstrated ability to build and implement processes in a startup or evolving environment.</li><li>Possess a builder mindset: Creates structure where none exists; thrives in ambiguity.</li><li>Ability to manage multiple workflows with precision and accountability.</li><li>Takes initiative and drives outcomes without reliance on established processes.</li><li>Ability to communicate clearly and professionally across internal teams, partners, and carriers.</li><li>Analytical thinker<strong>:</strong> Interprets commission data and identifies discrepancies.</li><li>Builds and maintains strong partnerships with carriers and GA partners.</li></ul><p><strong>Education and Experience</strong></p><ul><li>3–6+ years of experience in insurance operations, brokerage support, or agency administration preferred.</li><li>Experience managing licensing and compliance across multiple states.</li><li>Familiarity with commission structures, reconciliation, and reporting.</li><li>Experience onboarding users to carrier portals, quoting tools, and internal systems.</li><li>Preferred experience with Zywave and Sircon systems. </li></ul><p><strong>Physical Requirements</strong></p><ul><li>Prolonged periods of sitting at a desk and working on a computer. </li><li>Must be able to move up to 15 pounds at times. </li><li>Must be able to participate in or facilitate video conferences and virtual meetings</li></ul><p><em>We are an equal opportunity employer and do not discriminate based on race, color, religion, sex, national origin, age, disability, genetic information, or any other protected status under applicable law.</em> Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions of this role. </p><p> </p>
